Marketing Events & Operations Coordinator

Overview of the Role:

The Global Enterprise Marketing team operates across brands, channels, events, and geographies, and moves fast. We're looking for a sharp, organized Marketing Events & Operations Coordinator to be the connective tissue that keeps it all running during our highest-stakes, most visible moments.

This role reports to the Head of Experiential Marketing and supports the broader cross-functional enterprise marketing team across InMobi and Glance, our two distinct businesses. You'll be the person who makes sure nothing falls through the cracks on our highest-stakes initiatives: milestones are hit, partners are orchestrated, and events get executed with excellence, all while keenly tracking budgets and business results.

The highest priority focus for this role is supporting InMobi Group events in the USA and abroad, including end-to-end coordination across a range of industry events as well as more curated custom activations and experiences, both in-person and virtual. A secondary area of responsibility includes broader marketing operations support, including project coordination, vendor management, budgeting and expense administration, and navigating internal Legal, Finance, and Procurement processes.

This early career role is for someone with 1–3 years of professional experience that has prepared them to thrive in a fast-paced, rapidly changing organization during an accelerated phase of growth. The right candidate takes initiative, is highly organized, resourceful, and naturally curious about the finer details that go into making modern marketing events and organizations successful. They find fulfillment bringing structure to complex projects and coordinating across multiple stakeholders, time zones, and environments without losing momentum.

Location: This role is based on-site in our New York, New York office, with travel up to 50% of the time, both domestic and international.

The Impact You'll Make:

Event Operations

• Support the planning and execution of a range of marketing events, including industry conferences and trade shows, partner events, and custom curated experiences designed to delight our most discerning prospects, customers, partners, and internal leadership
• Build and track cross-functional event plans and milestones, ensuring critical timelines are met while constantly seeking opportunities to standardize and improve processes
• Coordinate end-to-end event logistics including contract deliverables, lead capture, venue management, hospitality, branding, giveaways, exhibits, product demos, shipping, group housing, meeting schedules, on-site staffing, equipment, and support services
• Partner with marketing, business, and third-party stakeholders to coordinate pre-event, onsite, and post-event planning, promotion, and measurement
• Schedule and coordinate internal and partner meetings, including agenda prep, note-taking, and follow-up on action items
• Coordinate with creative, content, communications, sales, product, and other internal teams to ensure event assets and messaging are produced accurately and on time
• Provide onsite event support when required, including vendor coordination, setup, registration, troubleshooting, and other executional needs
• Support post-event wrap-up, including vendor closeout, invoice reconciliation, internal debriefs, ROI, and documentation of learnings and next steps

Vendor Management & Finance Operations

• Own the end-to-end vendor onboarding process, collecting required documentation, submitting onboarding requests, and ensuring new vendors are set up in company systems before work begins
• Manage the full contract lifecycle for marketing vendors and partners: initiating requests, routing for review and approvals, tracking signatures, and maintaining a central contracts log
• Process invoices and expense reports accurately and on time, ensuring vendors are paid according to agreed terms
• Liaise with Finance and Legal to resolve onboarding or payment issues and keep projects moving
• Maintain organized records of all vendor agreements, POs, and payment history

General Marketing Operations

• Provide project coordination and operational support for cross-functional marketing initiatives in close collaboration with peers and marketing management
• Maintain standard marketing calendars, repositories, project trackers, documentation, templates, and shared resources
• Identify recurring administrative friction and suggest ways to simplify, automate, and standardize processes
• Coordinate inputs and deliverables across marketing teams and other internal stakeholders
• Support marketing budget administration and help maintain accurate records of planned, committed, and actual spend
• Assist with agency and vendor administration across the broader marketing organization
• Support onboarding of new marketing vendors, tools, or services from an operational perspective
• Provide ad hoc operational and project support to the marketing organization as priorities evolve

The Experience We Need:

• 1–3 years of experience in events, marketing operations, or related roles within a fast-paced environment
• Demonstrated experience managing vendor relationships, contracts, and invoicing processes
• Strong project management skills; you track the details, own the follow-up, and don't need to be reminded twice
• Comfortable working across time zones and coordinating with global teams
• Highly organized and accountable with a low tolerance for things falling through the cracks
• Clear, professional spoken and written communication; you can lead a call, demonstrate a product, draft a vendor email, or fire off a sharp WhatsApp update with equal ease
• Proficiency with project management tools (Asana, Workfront, Monday, or similar) and event management tools (Splash, Cvent, Luma, Eventbrite, or similar), as well as Microsoft 365 or Google Workspace
• Desire and ability to travel up to 50% of the time, both domestic and international

Preferred:

• Experience supporting a marketing or events team at a B2B tech or AdTech company
• Familiarity with procurement, legal routing, or finance systems (Coupa, SAP Concur, DocuSign, Ramp, Oracle Fusion, or similar)
• Experience supporting large-scale events or trade show activations
• Comfort with ambiguity and the ability to prioritize across multiple competing demands
