Strategic Operations Specialist

Accountabilities: Manage inbound inquiries from prospective searchers and investors, ensuring requests are handled promptly, professionally, and accurately. Maintain and organize CRM records, ensuring critical pipeline and relationship information remains accurate, complete, and accessible. Organize financial documents and other important business information to create a reliable source of truth for decision-making. Support deal-flow operations by tracking opportunities, follow-ups, and relevant information throughout the pipeline. Coordinate leadership schedules, office hours, meetings, follow-ups, and other administrative activities. Proactively identify upcoming needs and take ownership of follow-ups and coordination without requiring constant direction. Research potential opportunities and prepare clear, concise summaries and information for internal review. Develop and improve repeatable workflows, checklists, and operational processes to increase efficiency and consistency. Use AI-powered tools to summarize information, organize data, draft communications, and streamline recurring tasks. Help identify operational bottlenecks and recommend practical improvements that enable the business to scale effectively. Handle sensitive business, financial, and investor information with a high degree of discretion and confidentiality. Requirements: Strong organizational skills and a natural ability to structure complex information into clear workflows, checklists, and systems. Experience in operations, executive support, administrative coordination, investment operations, or a related field is valuable. Highly proactive approach, with the ability to anticipate needs, manage follow-ups, and move projects forward independently. Excellent written and verbal communication skills, with the ability to communicate professionally with investors, business partners, and internal stakeholders. Strong attention to detail and accuracy when working with CRM records, financial documents, correspondence, and operational data. High level of professionalism, discretion, and confidentiality when handling sensitive information. Comfortable working with CRM and productivity platforms such as Airtable, HubSpot, or Salesforce. Interest in and willingness to use AI tools to summarize information, organize data, and improve communication workflows. Strong research and analytical skills, with the ability to gather information and turn it into useful summaries and insights. Ability to work autonomously in a remote environment while maintaining accountability for deadlines and deliverables.
