Accountabilities:: Own U.S. recruiting operations, including hiring intake, interview process coordination, offers, closing, and collaboration with external search partners when needed. Manage remote-first onboarding from accepted offer through the first 90 days, including orientation, benefits education, policies, I-9 and E-Verify, equipment, systems access, department buddy coordination, and 30-60-90 day follow-up. Process promotions, job changes, leaves, and other employee data updates in the HRIS, prepare related documentation, and maintain accurate digital personnel files. Own offboarding activities, including exit documentation, exit conversations, access and equipment close-out, and accurate HRIS termination processing with benefits end dates. Serve as the primary HR owner for U.S., Japan, and European contractors, managing agreements, onboarding, offboarding, and manager questions. Act as the first point of contact for employee inquiries, providing thoughtful guidance within company policies and applicable employment laws and escalating sensitive matters when appropriate. Manage day-to-day U.S. benefits administration, including new-hire enrollment, qualifying life events, vendor issues, deduction questions, COBRA coordination, and open enrollment. Support benefits selection, renewals, broker reviews, and plan-design discussions, while coordinating local benefits partners for employees in Japan and Europe. Develop and deliver employee education on benefits, including guides, information sessions, and one-to-one support. Maintain benefits calendars covering renewals, open enrollment, compliance notices, owners, and deadlines, while partnering with global HR colleagues to ensure accurate employee data and reporting. Partner with HR leadership on culture, engagement, recognition, employee surveys, and learning and development initiatives. Design and facilitate training programs covering new-manager fundamentals, performance conversations, onboarding, and other priority topics. Plan and execute employee events and culture programs, primarily in virtual formats, with appropriate written follow-up, recordings, and manager resources. Coach managers through performance conversations, documentation, and performance improvement plans, while handling first-line U.S. employee relations matters with sound judgment. Coordinate the annual U.S. performance cycle, including timelines, completion tracking, and calibration preparation. Support accommodations, leaves, policy updates, employee handbook maintenance, and other compliance-sensitive processes. Stay current on federal, state, and local employment requirements affecting supported employee populations. Requirements: Bachelor’s degree and 5+ years of relevant HR Operations experience. Demonstrated experience as a People Success Partner, HR Generalist, or HR Business Partner supporting a distributed U.S. workforce, ideally within technology, healthcare technology, or B2B software. Experience working in organizations of approximately 100–500 employees is strongly preferred. Hands-on experience with U.S. benefits operations, including open enrollment, qualifying life events, vendor management, and employee education. Ability to participate in benefits selection and renewals, interpret plan changes, evaluate options with brokers, and translate their impact for employees. Experience delivering manager training, facilitating virtual or in-person sessions, and supporting culture and engagement programs. Strong employee-relations judgment and experience coaching managers through challenging performance or employee conversations. Full-cycle familiarity with recruiting coordination and employee onboarding. Experience entering, maintaining, and auditing employee transactions in an HRIS; ADP Workforce Now experience is a plus. Strong written and verbal communication skills, with excellent organization, accuracy, and discretion when handling confidential information. Ability to manage multiple workstreams simultaneously while maintaining a strong sense of urgency and ownership. Comfortable working independently within a remote-first, globally distributed environment. Familiarity with AI tools and curiosity about using technology to improve HR operations and reduce administrative workload. Experience in healthcare technology, medical devices, medical imaging, SaaS, AI, or software environments is preferred. Experience working with benefits brokers on RFPs or mid-year plan changes is a plus. Exposure to performance-cycle operations and external talent acquisition or shared-services partners is beneficial. Ability to travel occasionally for employee events or critical in-person training.
