Tax Filing and Rejection Specialist Lead

Accountabilities: Provide subject matter expertise to team members by answering questions, guiding complex cases, supporting high-touch accounts, and contributing to special projects and daily operational activities. Assist with aged, reopened, complex, and escalated cases, ensuring timely investigation, resolution, and appropriate follow-up. Create and maintain guides, standard operating procedures, and other resources for resolving tax filing errors and rejections. Support quality assurance activities by identifying cases for review, recognizing opportunities for first-touch resolution, and promoting consistency across workflows. Review and analyze employer- and employee-level payroll and tax data to understand filing impacts and identify potential issues. Conduct or contribute to root cause analyses and help develop corrective actions for recurring filing and rejection problems. Identify process improvement and automation opportunities that can increase efficiency, reduce errors, and strengthen filing and rejection workflows. Collaborate with Account Health and other internal teams on error-prevention strategies and initiatives designed to reduce tax filing rejections. Monitor trends and recurring issues, communicate findings to leadership, and contribute to enhancement requests and process improvements. Provide professional, accurate, and timely support to internal and external customers while maintaining strong working relationships. Help foster a collaborative, accountable, and high-performing team environment aligned with established service standards. Requirements Associate degree or equivalent combination of education and relevant experience. At least 2 years of payroll tax experience, with payroll tax outsourcing experience preferred. Working knowledge of payroll and payroll tax functions, including multistate taxation and State Unemployment Insurance (SUI) requirements. Knowledge of applicable tax agencies and tax types and how tax data affects payroll filing processes. Experience with tax data management, filing processes, rejection resolution, or related operational workflows. Experience with ERP systems such as Workday, PeopleSoft, or comparable enterprise platforms is preferred. Strong analytical and problem-solving abilities, with a data-driven approach and exceptional attention to detail. Experience performing root cause analysis and making sound decisions when information may be incomplete. Knowledge of quality assurance principles, techniques, and best practices. Advanced Microsoft Excel skills and proficiency with the broader Microsoft Office Suite. Strong organization and time-management skills, with the ability to prioritize multiple tasks, projects, and deadlines in a fast-paced environment. Excellent written and verbal communication skills, with a strong customer-service orientation. Self-motivated and proactive, with the ability to work independently, take ownership, and drive tasks to completion. Collaborative and dependable, with the ability to build effective relationships across teams and handle sensitive information confidentially. Ability to remain professional under pressure, adapt to changing priorities, and maintain accuracy while working against deadlines. Benefits Salary range of $60,000–$70,000 per year .
