Events Program Manager

Accountabilities: Serve as the primary client contact for production logistics, shipment schedules, specifications, status updates, and issue resolution. Manage changing requirements and compressed timelines by reprioritizing work, communicating impacts, and keeping programs on schedule. Participate in client planning calls and translate event requirements into clear instructions for warehouse and production teams. Proactively monitor shipments and logistics milestones, identifying and escalating potential issues before they affect delivery. Build trusted client relationships through responsive, professional, and confident communication, including during high-pressure situations. Oversee the preparation, packing, organization, and quality control of event kits containing displays, branded materials, and activation assets. Direct warehouse team members on kit assembly using pull lists, pack lists, and event-production nomenclature. Maintain organized systems for complex, multi-component event assets and ensure kits are complete, accurately labeled, and transit-ready. Troubleshoot packing and production challenges in real time and develop practical alternatives when planned solutions do not work. Collaborate with event production teams on program requirements, execution planning, and field considerations. Track inventory, reorder requirements, asset lifecycle, and recurring program documentation. Use Google Workspace and warehouse management systems to maintain accurate information and support operational workflows. Identify opportunities to improve processes, increase efficiency, reduce errors, and strengthen program delivery. Requirements 2–5 years of experience in event production, trade show coordination, experiential marketing, or a closely related field. Demonstrated experience working on-site with brand activations, trade show booths, experiential programs, or comparable live events. Hands-on warehouse experience, including physically handling event equipment, displays, assets, and production materials. Experience managing client relationships where requirements may change frequently and timelines are compressed. Familiarity with scenic and fabricated event assets, including multi-piece displays and activation components, from intake and installation through lifecycle management. Understanding of event logistics such as load-in/load-out, venue shipments, drayage, advance warehouses, and the differences between various event environments. Strong organizational skills and demonstrated ability to manage multiple concurrent programs without losing track of deadlines, details, or commitments. Proven ability to remain calm under pressure, anticipate problems, and develop practical solutions quickly. Strong written and verbal communication skills, with the ability to communicate effectively with clients, warehouse teams, production professionals, and leadership. Experience owning inventory, orders, and asset records within operational or warehouse management systems. Strong process discipline, including accurate documentation, paper trails, and adherence to established procedures. Comfortable using Google Workspace, particularly Sheets, Docs, and Drive, with the ability to learn new technology and operational platforms quickly. Proactive mindset with the judgment to resolve issues independently while knowing when escalation is necessary. Collaborative, adaptable, empathetic, and entrepreneurial approach to working in a fast-paced environment. Experience supporting technology, entertainment, consumer, or other major brand clients is preferred. Benefits Compensation of $60,000–$75,000 , depending on experience.
