Building Manager Location: Petaling Jaya Portfolio Coverage: Petaling Jaya Portfolio Size: 180,000 square feet About the Role We are seeking an experienced Building Manager to oversee and manage our banking facilities in Petaling Jaya. This role is responsible for ensuring optimal operational performance, regulatory compliance, and cost-effective management of our extensive property portfolio. The successful candidate will lead facility operations across multiple sites, ensuring our physical environments support business operations and provide exceptional experiences for employees and customers. Key Responsibilities Operations Management Oversee day-to-day operations of all banking facilities in Petaling Jaya, ensuring buildings operate efficiently and safely. Manage hard and soft services including HVAC, electrical, plumbing, cleaning, security, landscaping, and waste management. Coordinate planned preventive maintenance programs and respond swiftly to reactive maintenance issues to minimize operational disruption. Ensure facilities meet the high standards expected in the banking sector, maintaining professional environments that reflect our brand values. Vendor and Contract Management Manage relationships with multiple service providers and contractors across both regions. Negotiate contracts, monitor service level agreements, and ensure vendors deliver quality services on time and within budget. Conduct regular vendor performance reviews and implement improvement plans where necessary. Develop and maintain a preferred vendor network that ensures competitive pricing and reliable service delivery. Compliance and Safety Ensure all facilities comply with Malaysian regulatory requirements including BOMBA (Fire and Rescue Department), DOSH (Department of Occupational Safety and Health), local authority requirements, and Bank Negara Malaysia guidelines where applicable. Maintain all statutory certifications including fire certificates, elevator permits, and building compliance documentation. Lead health and safety initiatives, conduct risk assessments, and implement safety protocols. Coordinate emergency response procedures and business continuity planning for facility-related incidents. Financial Management Develop and manage annual facility budgets, tracking expenditures and identifying cost optimization opportunities. Prepare financial reports, forecasts, and variance analyses for senior management. Implement cost-saving initiatives without compromising service quality or safety standards. Manage capital expenditure projects and ensure optimal return on investment. Space Planning and Projects Oversee space planning, office refurbishments, and fit-outs in collaboration with business units. Manage facility improvement projects from concept through completion, ensuring projects are delivered on time, within budget, and to specification. Coordinate relocations, expansions, and consolidations as required by business needs. Work closely with architects, engineers, and contractors on renovation and construction projects. Sustainability and ESG Develop and implement sustainability initiatives to reduce environmental impact and operational costs. Monitor energy consumption, water usage, and waste management across the portfolio. Support the organization's ESG commitments through facility management practices. Implement green building practices and pursue relevant certifications where appropriate. Team Leadership Lead and develop a team of facility coordinators and technical personnel across both locations. Provide coaching, training, and performance management to build team capability. Foster a culture of service excellence, safety consciousness, and continuous improvement. Ensure effective communication and coordination between regional teams. Qualifications and Experience Essential Bachelor's degree in Facilities Management, Engineering, Building Services, Property Management, or related discipline. Minimum 8-10 years of facilities management experience, with at least 3 years managing portfolios exceeding 150,000 square feet. Proven experience managing multi-site operations across different geographical locations. Strong knowledge of Malaysian building regulations, safety standards, and compliance requirements. Experience in the banking, financial services, or similarly regulated industry preferred. Technical Skills Proficient in facility management systems (CAFM/CMMS) and building management systems. Strong understanding of MEP (Mechanical, Electrical, Plumbing) systems and building infrastructure. Knowledge of project management methodologies and contract administration. Advanced MS Office skills including Excel for budgeting and reporting. Professional Certifications (Preferred) Certified Facility Manager (CFM) or International Facility Management Association (IFMA) certification. Registered Facilities Manager with the Malaysian Institute of Facilities Management (MIFM). Green building certifications (GBI Facilitator or equivalent). Key Competencies Strong leadership and people management abilities with experience leading geographically dispersed teams. Excellent vendor negotiation and contract management skills. Strategic thinking combined with hands-on operational capability. Financial acumen with demonstrated budget management experience. Exceptional problem-solving skills and ability to make decisions under pressure. Strong communication and stakeholder management abilities at all organizational levels.
