JOB DESCRIPTION Role Overview The MIS Specialist – Minor Projects is responsible for establishing, maintaining, and automating the central Project Management Information System across all minor works, office refurbishments, and churn projects. This role serves as the central data and reporting backbone—tracking master schedules, project budgets, procurement cycles, stage-gate governance, contractor deliverables, and executive dashboards for Workplace Services Managers (WSM) and project delivery leads. Key Responsibilities 1. Project Milestone & Schedule Tracking Maintain and update the Pan-India Master Project Tracker across all active minor works sites. Track critical project milestones including design sign-offs, Stage Gate approvals, Project Completion (PC), Project Declaration (PD), Acceptance Testing (AT), and First Day of Business (FDOB). Monitor baseline vs. actual timelines, flagging schedule variances, critical path slippages, and operational blockers. 2. Financial, Cost & Commercial Controls Track and reconcile project budgets, Capex/Opex allocations, and committed spends. Monitor end-to-end procurement workflows: PR/PO generation, vendor quotes, variation orders, and Non-Tendered (NT) items. Track Running Account (RA) bills, retention clauses, payment cycles, and contractor invoicing against contract milestones. Support monthly accrual reporting, cash-flow forecasting, and commercial closeout reconciliation. 3. Governance & Executive Reporting Design, build, and publish automated Daily/Weekly/Monthly Progress Reports (WPR/MPR) and executive status decks for Google WSMs and leadership. Build and maintain interactive dashboards using Google Sheets, Looker Studio, or Power BI to visualize portfolio health, SLA compliance, and spend trends. Maintain risk and dependency registers, capturing vendor delays, material lead times, and mitigation actions. 4. Documentation & Compliance Management Manage central project document repositories (GFC drawings, Handover/Snagging punch lists, SWMS, vendor compliance, and statutory approvals). Audit site handover documentation required for formal sign-offs and space activation. Ensure data integrity, standardization of project templates, and consistency across regional site teams. 5. Cross-Functional Stakeholder Coordination Liaise between on-site Project Managers, General Contractors (GC), MEP leads, architects, Global Security (GSRS), and Client Workplace Managers (WSM). Coordinate periodic progress reviews, capture meeting minutes (MOMs), and enforce action item closures. Required Qualifications & Experience Education: Bachelor’s degree in Engineering (Civil/Mechanical/Electrical), Construction Management, Architecture, Computer Applications, or Finance/Commerce. Experience: 3 to 6 years of proven experience in MIS, Project Controls, or PMO within Corporate Real Estate (CRE), Fit-Out/Interior Construction, or Facilities Management. Domain Knowledge: Understanding of interior fit-outs, MEP/critical infrastructure handovers, and project lifecycle phases (initiation to closeout). Technical Skills & Tools Google Workspace: Advanced Google Sheets (complex formulas, Apps Script/macros, Query, Pivot Tables, dynamic dashboards) and Google Slides. BI & Reporting: Looker Studio, Power BI, or Tableau. Project Tools: MS Project / Primavera P6 (working knowledge preferred). Financial & ERP Systems: Experience with SAP, Oracle PPM, or corporate ERP billing platforms. Key Competencies High numerical accuracy and attention to detail. Strong data visualization and storytelling skills for executive presentations. Ability to handle multiple fast-tracked projects simultaneously under tight deadlines. Excellent verbal and written communication skills across cross-functional teams.
