Accountabilities: Coordinate end-to-end event execution: Manage schedules, registrations, vendor arrangements, conference booths, travel, shipping, event materials, run-of-show documents, and post-event follow-ups, ensuring all activities are completed on time. Support conferences and in-person events: Serve as the operational point of contact for assigned events, coordinating internal stakeholders and external vendors while providing on-site support when required. Manage multiple event formats: Help deliver approximately three large business-to-business conferences annually, five to seven school or partner visits, and recurring virtual events, typically one to two per month, in a supporting capacity. Develop event processes and documentation: Create and maintain event playbooks, checklists, timelines, and coordination procedures. Identify missing information, dependencies, and potential risks early to prevent disruptions. Oversee event logistics and inventory: Track supplies, branded materials, inventory, vendor orders, expenses, invoices, and shipments to ensure resources are available at the right place and time. Coordinate marketing and cross-functional projects: Use ClickUp or similar project management platforms to organize tasks, monitor deadlines, clarify ownership, and maintain visibility across ongoing initiatives. Support marketing communications: Assist with light editing, quality checks, and other defined marketing tasks to ensure materials are accurate, consistent, and ready for use. Facilitate collaboration and follow-through: Keep stakeholders informed, manage changing priorities, resolve logistical issues, and support effective lead handoffs and post-event coordination. Requirements Relevant experience: Approximately one to three years of experience in event coordination, marketing operations, project coordination, or a related field. Relevant internships and equivalent hands-on experience are welcome. Practical event coordination: Demonstrated experience organizing and executing events such as conferences, trade shows, webinars, school events, or partner experiences. Experience must involve active coordination rather than simply attending or promoting events. Project and logistics management: Ability to manage multiple moving parts, including timelines, registrations, schedules, vendors, stakeholders, supplies, and last-minute changes. Communication skills: Strong written and verbal communication skills, with the ability to coordinate effectively with internal teams, external partners, and service providers. Organization and attention to detail: Excellent planning, time management, and follow-through, with the ability to anticipate missing details, identify risks, and maintain accurate documentation. Adaptability and initiative: A proactive, solution-oriented approach, with the confidence to manage competing priorities, work independently, and respond calmly to changing requirements. Technology proficiency: Comfort using project management and collaboration tools, with the ability to learn new platforms quickly. Familiarity with ClickUp, Asana, Monday.com, event registration systems, webinar tools, and lead-capture platforms is helpful. Education: A bachelor's degree in a related discipline is beneficial but not required. Industry experience: Experience in education, educational technology, professional associations, nonprofit organizations, hospitality, or corporate events is an advantage but not mandatory. Travel availability: Willingness and ability to travel domestically approximately 15–20% of the time for national conferences, partner events, and occasional office visits, including visits to Washington, D.C., approximately one to two times per year. Role alignment: This position is primarily focused on hands-on event execution and operational coordination, rather than social media management, creative content production, or campaign strategy alone. Benefits Remote work: A remote position offering flexibility to work from home in the United States. Meaningful work: Opportunities to support educators, school leaders, alumni, and partners through well-organized, impactful experiences. Professional development: Hands-on ownership of event operations and opportunities to build project management, coordination, and marketing skills. Cross-functional collaboration: Work closely with Marketing, Sales, Academics, and other teams in a collaborative environment. Process improvement: Opportunities to develop repeatable workflows and contribute to more efficient event and marketing operations. Mission-driven culture: Join an organization focused on professional education, teamwork, curiosity, and creating positive experiences for learners and partners. Inclusive workplace: A welcoming environment that values diverse backgrounds, perspectives, and professional experiences. Travel opportunities: Participate in national conferences, partner events, and occasional in-person team gatherings.
