Registrar & Property Collections Manager

REPORTS TO: Head of Logistics & Gallery Operations

LOCATION: New Bond Street

HOURS: Monday to Friday: 08:30 – 17:30

THE ROLE

The Registrar & Property Collections Manager is a key role within the organization, responsible for overseeing the delivery, unpacking, processing, and collection of all items at New Bond Street. Serving as the primary point of contact for the logistics department and our preferred shippers as well as managing gallery walk throughs for all exhibitions and overseeing the in-house packing and dispatch of items selected for self-pack. This position requires a unique blend of leadership, art-handling expertise, and excellent organizational skills, as well as a keen eye for detail and the ability to manage multiple projects simultaneously. The Registrar & Property Collections Manager is responsible for leading and inspiring the team to consistently deliver exceptional service standards to both internal and external clients. The role requires effective collaboration with a broad range of stakeholders including Specialist departments, Risk Management & Security, Client Experience, Seller Operations and Photography Studios, to ensure operational activities are executed safely, efficiently, and on time.

RESPONSIBILITIES

• Closely collaborate with the seller experience and inbound shipping teams so that all deliveries are correctly scheduled in SAP for the area to be resourced in correlation to incoming deliveries.
• Oversee the inbound schedule to ensure that all deliveries to New Bond Street are unpacked processed, condition checked and received within the designated SLA.
• Liaise with Sotheby’s preferred shippers to arrange gallery walk-throughs and ensure any required comments are updated in SAP prior to the sale.
• Work closely with the Luxury sales departments to ensure the safe storage, processing and release of all goods within their designated storage areas.
• Liaise with the New Bond Street gallery manager and the Creative team to ensure the timely set up and breakdown of all Luxury Exhibitions.
• Collaborate closely with the Client Experience team to ensure all client collection appointments are prepared and ready in advance, facilitating a seamless and efficient collection process.
• Liaise with the Client Experience team and third-party shippers to ensure that all items designated for Sotheby’s self-pack are packed to the agreed standards and ready for release within the designated SLA.
• Partner with other operational departments, including Risk Management & Security and Facilities, to foster a high level of collaboration and seamless workflow.
• Develop and apply analytical skills to interpret data, identify trends and provide insights that support informed decision making surrounding and area improvements.

IDEAL EXPERIENCE & COMPETENCIES

• Proven experience in art handling, demonstrated knowledge of fine art packing requirements and industry best practices.
• Strong leadership skills with a track record of motivating teams to achieve operational excellence.
• Ability to prioritize and manage multiple tasks effectively in a fast-paced environment.
• Excellent Organizational skills and exceptional attention to detail, ensuring accuracy and consistency in all tasks.
• Display a positive attitude and adhere to Sotheby's Service Standards.
• Effective communication and interpersonal skills, capable of collaborating with diverse stakeholders.
• Bachelor’s degree in a related field.
• Experienced in the use of Microsoft Office, Google Sheets and SAP.
• Employees in this role will be expected to have a flexible approach to work and will be required to work on selected evenings and weekends and maybe required to provide a level of support to other locations.
