Intern, Talent Acquisition Operations

Location: This is an onsite role based at Nextiva’s Bengaluru office (Wilshire III by MFAR, 492, Hobli, RHB Colony, Mahadevapura, Bengaluru, Karnataka 560048). Working together onsite strengthens how we operate, enabling faster decisions, clearer communication, and stronger execution, so you can make a greater impact and move work forward with speed and clarity. 

In-Office Expectation: This role is expected to work onsite five days per week, supporting a highly collaborative, in-person team environment. 

Nextiva’s Talent Acquisition team brings great people and opportunities together, building the teams that move our business forward. As a Talent Acquisition Operations Intern, you’ll play an important role in creating a smooth, thoughtful experience for candidates, from coordinating interviews across teams and time zones, to keeping candidates informed and engaged throughout the hiring process.

You’ll get hands-on experience with the systems, processes, data, and AI-enabled tools behind a modern recruiting function, while contributing ideas that make hiring simpler and more effective. Along the way, you’ll partner with Recruiters, Hiring Managers, global TA Operations, and the broader People Team, gaining exposure to the way a global Talent Acquisition team operates across India, the United States, Mexico, and Europe.

What You’ll Do

🎯 Recruiting Coordination

• Coordinate interviews across candidates, recruiters, hiring managers, and interview teams.
• Manage scheduling, rescheduling, calendar invitations, and candidate communications across global time zones.
• Provide backup support to TA Operations teams in the US & Mexico, as needed.
• Support virtual and onsite interview logistics.
• Help ensure candidates have a smooth and professional interview experience.
• Maintain accurate candidate and interview information in Greenhouse or other recruiting systems.

🌎 Talent Acquisition Operations

• Support day-to-day TA Operations activities and recruiting processes across multiple regions.
• Maintain recruiting templates, trackers, documentation, and process resources.
• Assist with pre-employment activities such as offer documentation and onboarding coordination.
• Support pre-onboarding candidate engagement to help create a positive experience between offer acceptance and start date.
• Support recruiting data audits and help keep candidate, requisition, and process information accurate and up to date.
• Provide support for internship program administration and other Talent Acquisition operational activities.
• Assist with local and regional recruiting activities based on business needs.

🤖 AI & Process Improvement

• Use approved AI tools to support research, drafting, documentation, analysis, and day-to-day recruiting tasks.
• Help identify opportunities to simplify recruiting processes and reduce manual work.
• Support updates to workflows, templates, candidate communications, and recruiting documentation.
• Review AI-generated content for accuracy, relevance, and quality before use.
• Learn how AI and automation can be applied responsibly within Talent Acquisition.

📊 Projects, Reporting & Documentation

• Support Talent Acquisition projects, recruiting programs, and process improvement initiatives.
• Assist with recruiting reports, trackers, dashboards, and basic data analysis.
• Help create and update SOPs, playbooks, process documentation, and recruiting resources.
• Support employer branding, recruiting events, campus or early-career initiatives, and other Talent Acquisition programs as needed.
• Assist with ad hoc TA projects and cross-functional initiatives based on team and business priorities.

✨ Candidate Experience, Employer Brand & Local Engagement

• Provide timely and thoughtful communication to candidates throughout the recruiting process.
• Help create a consistent and positive candidate experience from scheduling through onboarding.
• Support pre-onboarding engagement and candidate touchpoints prior to joining.
• Represent Nextiva professionally when interacting with candidates and external talent.
• Support local employer branding, recruiting events, social media initiatives, and talent attraction activities as needed.
• Assist with employee engagement, culture-building, and People Team activities where appropriate.
• Support other local and regional Talent Acquisition or People Team initiatives based on business needs.

What We’re Looking For

• Currently pursuing or recently completed a Bachelor’s degree, Master's degree, or equivalent experience.
• Interest in Talent Acquisition, Recruiting Operations, or People Operations.
• Strong organizational skills and attention to detail.
• Clear written and verbal communication skills.
• Ability to manage multiple tasks, priorities, and deadlines in a fast-paced environment.
• Comfortable working with calendars, spreadsheets, documents, and collaboration tools.
• Experience using AI tools such as ChatGPT, Copilot, or similar tools personally, academically, or professionally.
• Curiosity and willingness to use approved AI tools such as ChatGPT, Copilot, or similar technologies to support research, communication, documentation, and day-to-day productivity.
• Willingness to learn new recruiting systems, tools, and processes.
• Ability to work collaboratively with individuals across teams, countries, and time zones.
• Ability and willingness to work outside standard business hours as needed to support recruiting activities, interview coordination, and TA Operations in a global environment.
• High level of professionalism and discretion when handling candidate and confidential information.
• Able to attend occasional meetings outside of normal business hours with Global team members as needed.

Nice to Have

• Previous internship, work, volunteer, or academic experience related to Recruiting.
• Familiarity with Greenhouse or another Applicant Tracking System.
• Experience coordinating meetings, interviews, events, or calendars.
• Exposure to Excel, reporting, data tracking, or process documentation.
